How to Watermark PDFs to Protect Your Documents

Watermarks are visible marks added to PDF pages that serve as a deterrent against unauthorized use and help identify the document source. They are commonly used for branding, document classification, and ownership protection.

Types of Watermarks

Text Watermarks

The most common type, text watermarks display words like CONFIDENTIAL, DRAFT, COPY, or a company name across each page. They are typically semi-transparent and angled diagonally.

Image Watermarks

Company logos or custom graphics can be placed as watermarks. Image watermarks are often more subtle than text and work well for branding.

Dynamic Watermarks

Some systems add watermarks that include the recipient name, date, or other variable information. If a watermarked document leaks, the watermark identifies who received that specific copy.

When to Use Watermarks

Use watermarks on draft documents to prevent them from being mistaken for final versions. Add CONFIDENTIAL watermarks to sensitive internal documents. Use branding watermarks on marketing materials and proposals. Apply SAMPLE or PROOF watermarks on documents sent for review.

Watermark Design Tips

Keep watermarks subtle enough that they do not interfere with readability. Use low opacity (10-20%) for text-heavy documents. Position watermarks diagonally across the center of the page for maximum visibility. Use a neutral color like gray that works on both light and dark content.
